We are looking for a talented Executive Assistant to provide high-level support to the President and Executive team.  This position will appeal to candidates that are fast thinkers and positive “let’s get this done” attitude. Consider applying if you enjoy handling media relations, marketing and administrative activities such as meeting and corporate events planning.  The Executive Assistant will be expected to deal with domestic and international travel arrangements, expense reports and occasionally prepare high-quality brochures and activities to support overall department/company’s goals.


Position Responsibilities:


  • Attend confidential management and board meetings, prepare agendas and transcribe minutes
  • Maintain investor relation records, filing systems of paper and electronic documents, and ensure compliance with all record-keeping requirements
  • Prepare and format internal and external corporate documents (i.e. letters, reports, memos, brochures and presentations, etc.) for team members 
  • Work closely with marketing relations to ensure the company website is up to date
  • Uphold a strict level of confidentiality and discretion; protect company information
  • Manage business expense tracking and submission
  • Coordinate executive communications including responding to emails and other correspondence, and interacting with stakeholders
  • Schedule and monitor meetings, speaking engagements and other appointments, ensuring there are no conflicts; manage travel itineraries for Executive members and other stakeholders as required
  • Coordinate meetings and special events including note-taking, room set-up and catering
  • Conduct research, compile data and liaise with external groups on behalf of the executive team as required
  • Assist with coordination and implementation of administrative policies and procedures; office management, carry out day to day administrative work as required.


Position Requirements:


  • 5+ years of executive administrative assistant experience
  • Diploma/certificate in Business, Communication or Office Management. Bachelor’s degree preferred.
  • Excellent written, verbal communication and interpersonal skills
  • Ability to represent Loop Energy professionally, internally and externally
  • Excellent organizational and time management skills with the ability to manage conflicting and changing priorities
  • Ability to coordinate and interact effectively with team members
  • Ability to review, modify and create PowerPoint presentations at an advanced level
